Purpose, contents and scope of the Data Processing Policy
This Data Processing Policy (the ‘Policy’) is aimed at enabling you to ascertain that your personal data are safe at our Companies and providing information to you about how we use your personal data to be able to serve you. The Policy includes the type of personal data we collect, how we collect them, the purpose we use your personal data for, when and for what purpose we share the personal data with other organisations, and it contains information about your rights and possibilities to institute proceedings. The scope of this Policy extends to data processing activities performed on the website of our Companies, its Facebook, Instagram, LinkedIn and Google+ pages, and when our Companies are contacted in person, by telephone and by email and to natural persons affected by such data processing. The Data Processing Policy takes effect upon its posting on the website of our Companies.

If you have any question or remark about the Policy, before you would use any of our services or would provide any data about yourself in any way to our Companies, please contact our Companies via the contact details set out in the ‘Our Companies’ section of the Policy. Robertson Hungary Kft. and Robertson Property Management Zrt. reserve the right to unilaterally amend this Policy, without giving prior general notice, with effect following the amendment. If the Policy is inaccessible on our website at any time for technical reasons, we will, at your request, send you the Policy, as in force, by email.

Data processing methods
Robertson Hungary Kft. and Robertson Property Management Zrt. process your personal data as data controller. We process your data when you contact us or use our services in some way, such as if you use our transaction, valuation, consulting, property management, project management or accounting services, subscribe to electronic direct marketing communication, such as newsletters, which you may receive from us in the form of emails, if you contact us on our Facebook, Instagram, LinkedIn or Google+ pages or participate in market research or events organised by us. We also process your data when our Companies contact you during or in connection with the performance of our services. The procedure followed by the staff of our Companies in connection with the processing of your data is described in our own internal Privacy Policy. Our website may also contain links to websites operated by third parties or the websites of third parties may also contain links to our website. We assume no liability for the contents of websites operated by third parties.

Statutory background of data processing and use of terminology
Our Companies process your personal data in compliance with Regulation (EU) 2016/679 of the European Parliament and of the Council on the protection of natural persons with regard to the processing of personal data and on the free movement of such data (the ‘GDPR’ or ‘General Data Protection Regulation’) and other data protection legislation, and always takes the technical and organisational measures that are required for appropriate and safe data processing. The terms are used in the Policy and during the processing of your personal data in accordance with the provisions of Article 4 of the General Data Protection Regulation.

Personal data collected by our Companies
We receive personal data from you for using our services and also receive personal data from other sources.
You may provide, for example, the following data when ordering the services of our Companies and contacting us on our Facebook, Instagram, LinkedIn or Google+ page or in another way:

  • your name and contact details, including, for example, your mailing and email address, phone number, other internet address and invoicing address;
  • your experience about our services and preferences relating to our services;
  • your feedback and remarks in customer research or questionnaires.

We may also use personal data from other sources, for example, information provider companies or online media channels, in accordance with the relevant legislation. Such other personal data help us, for example, improve our marketing communication and online advertisements and measure their efficiency. We do not collect information to an unnecessary extent or information that is unnecessary or unsuitable for achieving the goal to be attained. Our Companies do not collect the special data described in Article 9 of the General Data Protection Regulation; please do not send us such data.

Purpose of data processing
The purpose of recording and processing your personal data is to provide services to you, to provide information to you about our services and to improve the standard of our services in the interest of our Customers.

Thus, the recording and processing of personal data are aimed at, in particular:

  • serving you at our head office;
  • providing you information on our Facebook, Instagram, LinkedIn and Google+ pages;
  • sending you newsletters on the basis of your specific consent;
  • providing information about timely events;
  • preventing and filtering out unwanted registration and misuse;
  • handling complaints, if any;
  • providing our services and checking, revising and expanding the services provided by us;
  • evaluating and analysing our services;
  • requesting your opinion and conducting needs analyses;
  • liaising with you in connection with the above;
  • protecting our head office, Customers and employees.

Legal basis for data processing
The legal basis for data processing may be your consent, the performance of a contract, taking certain necessary steps at your request before performing a contract, fulfilment of a legal obligation, the protection of your or third parties’ essential interests and the enforcement of our Companies or third parties’ legitimate interests. If one of these conditions is fulfilled, data processing is lawful. Thus, when you use our services, our Companies will collect personal data in order to perform the contract and monitoring the performance of the services requested by you is our legitimate interest. If you contact us by telephone, recording your personal data is a necessary step preceding the performance of the contract. If we contact you about our services or their quality or if we request your opinion or do a survey in order to be able to develop our services in accordance with the contents of the Policy and our Customers’ needs, we refer to our legitimate interest; in certain cases, such as in the case of newsletters or other direct  marketing, to your consent. If we handle disputes or complaints or fulfil your requests in this respect, we will process your personal data with reference to the fulfilment of our legal obligations, and in certain cases we refer to our Companies’ legitimate interest or legal rules.

Transmission of personal data
We do not make your personal data accessible to third parties without your authorisation. We may share personal data with other organisations in the following cases:

  • if our Companies are obliged to do so by legislation or a government instrumentality;
  • if we have to share personal data to provide grounds for, exercise or protect our rights;
  • if we reorganise, sell or transfer our business or part of it;
  • if we use other service providers for performing our services, such as technological services (for example, the operation of our website and Facebook, Instagram, LinkedIn and Google+ pages), services aimed at data storage and marketing companies.

Duration of the storage of personal data
Our Companies process personal data until its contracts are performed or during the period of subscription to our Facebook, Instagram, LinkedIn or Google+ pages. After that, we will store your personal data only for the necessary period depending on the purpose of data collection, whether there is a statutory obligation to store the data, and for how long storage is required in order to protect your or third parties’ vital interests or the enforcement of our Companies or third parties’ legitimate interests.

Marketing and market research
Based on your preliminary consent, we send you priority offers and news relating to our services by email and in newsletters. You may declare at any time that you unsubscribe from the newsletters and that you no longer wish to receive emails, by either online or by telephone or by clicking on the ‘optout’ link in the emails we send to you. If you so withdraw your consent, we will no longer send you emails once our systems are fully updated. If we contact you for the purposes of market research, which is aimed at improving our services, you may decide whether you participate in them. You may leave our Facebook, Instagram, LinkedIn and Google+ pages at any time at your own discretion.

Data protection rights
You have the right to request us that we provide you the personal data stored about you. If you would like to receive an extract from the personal data stored about you, please contact us via the contact details set out in the ‘O’ section of the Policy. If you think that the data in our records are inadequate or incomplete, please contact us and we will correct them. If you object to the processing of your personal data, we will investigate your objection. If, on the whole, your rights are more important than our Companies’ interests to process your personal data, we will, at your request, stop processing them or will erase them. If you objected to the use of your personal data for the purposes of direct marketing, we will no longer use them for such purposes.

If you lawfully forbid the use of your personal data, but do not wish that we erase them, we will not use them. If you request that we erase your personal data, we will erase them if we no longer need to keep a record of your personal data for enforcing our legitimate interests and you so requested; if you have withdrawn your consent to the use of your personal data and we have no other legal basis for using them; or if we did not process your personal data lawfully. You may request that your data be transmitted to other organisations and service providers and that the data is made portable in a copy.

Complaints management
You have the right to submit a complaint about the use of your personal data by our Companies to the data protection authority.
